Understand roles

Roles determine what actions users can perform in Collections. Certain roles have pre-defined permissions.

Some permissions, such as selecting a profile image, are determined by your role and cannot be changed. Other permissions, such as visibility options, can be adjusted from the default settings.

Refer to the following table to see which permissions are assigned to various members of your school or district by default:

Administrator

  • Restrict users from seeing collections created at another site type.
  • Select educational standards to display for their site.
  • Assign a report abuse evaluator for collections at their site.
  • Pin collections to the site, district, and public ribbons for a specific number of days.
  • Edit, copy, or delete any collection created by users at their site.
  • Make any of their collections visible to any level by default.
  • Copy an editable or view-only link in their private collection, and send it to anyone.
  • Share any of their collections by email with anyone.
  • Collaborate on a collection with anyone by sending an invitation.
  • Submit a collection to Google Classroom for anyone to view.
  • Report a potentially offensive resource to the school or district.
  • Select a personal photo, emoji, or sticker for their profile image.

  • Make any of their collections visible to any level by default.
  • Copy an editable or view-only link in their private collection, and send it to anyone.
  • Share any of their collections by email with anyone.

  • Report a potentially offensive resource to the school or district.

Learner

Student

  • Only create private collections by default.
  • Copy an editable or view-only link in their private collection, and send it to anyone.
  • Share any of their collections by email with anyone by sending an invitation.
  • Submit a collection to Google Classroom for an assignment submission.
  • Report a potentially offensive resource to the school or district.
  • Only select emojis or stickers for their profile image. They cannot upload a custom image.

Alumni

Observer

Other

  • Make any of their collections visible to any level when configured under Collections Policies.
  • Copy an editable or view-only link in their private collection, and send it to anyone.
  • Share any of their collections by email with anyone by sending an invitation.
  • Submit a collection to Google Classroom for an assignment submission.
  • Report a potentially offensive resource to the school or district.
  • Only select emojis or stickers for their profile image. They cannot upload a custom image.

Guest

  • View any public collection that is not owned by a Learner or Student.
  • Only generate a PDF from a collection visible to them. They cannot edit, copy, or delete a collection.
